Handling of Personal Information

• Purpose of Use of Personal Information
  The Company would use the customer's personal information for the following purposes, unless otherwise required by law.
  • (1)Business Operation
    • 1. Business operations related to acquisition, hiring, leasing, maintenance and repair, testing, and inspection of the following properties and rights:
      • a. automobiles, vehicles, and their components and supplies
      • b. movable properties other that those stated in Section 3 (1) 1-a.
      • c. copyrights, patent rights, utility model rights and other rights
    • 2. Financial operations
    • 3. Governance and management associated with holding stocks of a company engaged in any of the operations stated in Section 3 (1) 1 and 2
    • 4. All other business operations related to Section 3 (1) 1 to 3
  • (2)Purpose of Use
    • 1. To conduct the business operations stated in Section 3 (1)
    • 2. To make credit decisions regarding transactions with a customer, credit management after lending credibility including credit collection, and after-the-fact control after contract termination
    • 3. To provide maintenance, insurance service, etc. for automobiles, vehicles, etc. (including receiving reports on vehicle accidents, providing management information through the Company's online system, etc.)
    • 4. To conduct business operations related to registration (new, alteration, relocation, and deletion) of automobiles, etc.
    • 5. To conduct business operations related to sale or disposal of automobiles, etc.
    • 6. To entrust personal information to an external contractor when the Company contracts business operations (automobile registration, maintenance, insurance contract and coverage, computer work, payment settlement and any other related operations) to a third party
    • 7. To provide personal information to an automobile manufacturer or car dealer for the purpose of automobile safety management, providing security information and maintenance related information (including information when breakdown repairs, etc. are required) by the automobile manufacturer or car dealer
    • 8. To provide personal information to a third party required for appropriate conduct of business operations, such as when the Company provides personal information to an affiliated credit information agency on making credit decisions
    • 9. To conduct business operations which the Company contracted to perform all or part of handling personal information from another business operator
    • 10. To verify the authenticity or credentials of a customer
    • 11. To provide business information, notice and proposal on products (including new products) and services regarding business conducted by the Company, affiliate companies, etc., such as mailing promotional material or printed material
    • 12. To research and develop financial products and services such as leasing, installment sales, etc. by market research, data analysis, and survey
    • 13. To consider providing information and accepting an applicant when receiving recruitment application or inquiry
    • 14. To conduct rights or duties of the Company based on a contract with a customer or under law, or for purposes where particular consent is obtained
    • 15. To appropriately and smoothly conduct any other transactions with customers
• Use of Personal Information
  The Company would use personal information within the scope of specific purpose.
  The Company would ask for prior consent when using personal information outside of this scope.
• Appropriate Collection of Personal Information
  The Company would collect personal information in an appropriate and legal way within the scope necessary to accomplish the purpose of use specified in Section 1.
• Provision of Personal Information to Third Parties
  The Company would not disclose, entrust, or provide personal information to a third party without prior consent, excluding the following cases :
  • (1)When the Company contracts all or part of business operation to an agent, an affiliate, a maintenance workshop, a system developer and operator, a vendor of the vehicle under lease contract, etc., within the scope necessary to accomplish the purpose of use stated in Section 1.
  • (2)When information is necessary for protecting life, body, property, etc., of the public, in circumstances difficult to obtain the principal's consent.
  • (3)When protecting life, body, property, etc., of the customer or the public, in circumstances difficult to obtain consent.
  • (4)When information is particularly necessary for the improvement of public health or promotion of the sound upbringing of children, in circumstances difficult to obtain the principal's consent.
  • (5)When required in order to cooperate with a national institution, a local government, or an entity entrusted to conduct business operations pursuant to laws and regulations, in circumstances obtaining consent would hinder the conduct of the business operation.
• Shared Use of Personal Information
  The Company may share any personal information collected by the Company with its affiliate companies, to respond to the diverse needs of customers and appropriately practice business administration or risk management among corporate group, as follows

  • (2)Purpose of Use of Shared Users
    • 1, To develop, promote, and provide products, services, etc.
    • 2, To appropriately practice business administration or risk management such as identification/management of miscellaneous risks, as Sumitomo Mitsui Auto Service Group
  • (3)Contents of Shared Personal Information
    Information within the scope necessary to accomplish the purpose of use stated in section (2), such as name, address, telephone number (including changes to information notified by the customer, etc.), or public information disclosed through the official gazette, etc.

• Use of Sensitive Information
  The Company shall not acquire, use, or provide third parties any sensitive information stipulated in the Guidelines for Personal Information Protection in the Financial Field (Personal Information Protection Commission, Financial Services Agency Notification No.1 in 2017) and Guidelines for Personal Information Protection in the Credit Field (Personal Information Protection Commission, Ministry of Economy, Trade and Industry Notification No.1 in 2017), excluding the cases set forth in these Guidelines. The Company also shall not acquire the sensitive personal information stipulated in Article 2 (3) of the Act without the principal's prior consent, except as required by law
• Implementation of Safety Control Measures Regarding Personal Information
  The Company would take appropriate safety control measures to prevent the customer's personal information from loss, falsification, leakage, etc.
  Should the Company consign the handling of personal information, the Company would appropriately supervise the contractor.
  The Company may discard or delete personal information when the purpose of use is accomplished and continued retainment deems unnecessary.
• Disclosure Request Procedures for Retained Personal Information
  When requested by the principal or a representative to disclose, etc. the principal's personal information (pursuant to Article 2 (7) of the Act) retained by the Company, the Company would appropriately and promptly comply with the predetermined procedures. See the Disclosure Request Procedure for details.
• Measures Regarding Protection of Personal Information
  The Company would take the following actions to enforce protection of personal information pursuant to this implementation policy :
  • (1)implementation of awareness activities, in-house education and training for directors, officers, employees and other relevant persons
  • (2)appointment of a responsible person for handling protection of personal information and appropriate handling of personal information
  • (3)request to the Company's business partners for cooperation to personal information protection
  • (4)disclosure of this policy in a way possible for customers to view at any time
  The Company would appropriately review and improve this policy regarding the handling of personal information.
